IBE® APP PRIVACY POLICY

1. ABOUT THIS POLICY

This policy explains how Invisible Bead Extensions handles your personal information in the IBE mobile app for iPhone and iPad.

IBE also operates a website and online store at invisiblebeadextensions.com. Those are covered by our main privacy policy, which describes different systems and different data. Where you buy a subscription or manage your account on our store, that policy applies to what happens there.

If the two documents ever appear to conflict about the app, this one governs the app.

Your use of the app is also governed by our Terms of Service.

2. WHO WE ARE, AND HOW TO REACH US

The app is operated by Invisible Bead Extensions LLC, which is the controller of the personal information described here.

We do not track you. We do not link this information with data from other companies' apps or websites for advertising, and we do not share it with data brokers. See Section 9.

We never see your payment details. Purchases happen on our store, outside the app. See Section 14.

4. INFORMATION YOU GIVE US

Signing in. You sign in to the app with your IBE account, which is managed by Shopify. We receive your name and email address, along with your certification level and membership status. We never receive or store your password — sign-in happens on Shopify's own pages, and we only hold a session token on your device.

Your profile. You can add a profile photo — taken with your camera or chosen from your photo library — a short About description, your city, state and country, an Instagram handle and a website.

The location on your profile is what you type in. The app does not collect location from your device — it has no access to GPS or location services.

Your profile is visible to other members of the IBE community inside the app.

What you post in the community. When you use the community, we collect what you create: posts, including their text and any photos or videos you add, and comments on other people's posts.

Content you post is visible to other members of the community.

The stylist application. If you apply for IBE certification through the app, the application form collects your name, cell phone number, email address, Instagram handle, shipping address, professional information, the type of stylist you are, your certification number, your experience with extensions, and your preferred payment method type — which is a choice from a list, not card or bank details.

Applying is optional, it is not required to use the app, and you can submit an application without being signed in. Applications are handled in HubSpot (see Section 7).

5. INFORMATION COLLECTED AUTOMATICALLY

How you use the app. We record your progress through courses and lessons, which lessons you have completed, and interactions such as likes. This is what lets the app remember where you are in a course and show you relevant content on your home screen.

Technical diagnostics. We collect crash reports, performance data such as launch time and responsiveness, and other technical diagnostics, through our app development platform (Expo / EAS). This tells us when something is broken.

Performance data and other technical diagnostics are not tied to your account. Crash reports may be.

Notifications. If you allow notifications, your device is issued a push token by Apple, which we store so we can send you notifications. It identifies your device for delivery purposes, not you personally. You can turn notifications off at any time in Settings → Notifications, or in your device settings.

Camera and photos. When you add a profile picture, or attach a photo or video to a post, you can take a new photo with your camera or choose an existing photo or video from your photo library. The app asks for access at the point you do this, and receives only what you choose to upload.

Videos always come from your library. The app does not record video, and it does not access your microphone.

Declining either permission does not prevent you using the rest of the app.

6. HOW WE USE YOUR INFORMATION

To run the app. Signing you in and keeping you signed in. Showing your profile and other members' profiles. Publishing your posts, comments and messages to the right people. Tracking your progress through courses. Working out which courses and features your membership gives you access to. Delivering notifications. Fixing bugs and keeping the app stable. Answering your support requests. Processing your certification application.

For analytics. Understanding how the app is used so we can improve it — which features people use, where they run into trouble, and how the app performs. We use your user ID, how you use the app, and technical diagnostics for this.

For our own marketing. Sending you communications about IBE — courses, events, certification and related offers. We use your name, email address and phone number for this.

This means marketing from IBE, about IBE. It does not mean showing you third-party advertising, and it does not mean tracking you. There is no advertising in the app.

You can opt out at any time — see Section 8.

7. COMPANIES THAT HELP US RUN THE APP

We use a small number of service providers. Each receives only what it needs to do its job.

We may also disclose information if the law requires it, to protect the rights or safety of our members or the public, or in connection with a merger, acquisition or sale of assets.

We confirm that any third party with whom we share your data — including the providers listed above, and any parent, subsidiary or related entity with access to it — provides the same or equal protection of your data as is set out in this policy.

We do not sell your personal information, and we do not share it with data brokers.

8. MARKETING, AND HOW TO OPT OUT

Opting out of marketing does not stop messages we need to send you about your account, your subscription, or your certification.

9. TRACKING AND ADVERTISING

The app does not track you.

Specifically, we do not link information collected in the app with information about you from other companies' apps, websites or offline sources for advertising or advertising measurement, and we do not share your information with data brokers. We do not use the device advertising identifier. There is no third-party advertising in the app.

This is why every data type on our App Store listing is marked as not used for tracking.

If this ever changes, we will update this policy, update our App Store privacy information, and ask for your permission through Apple's App Tracking Transparency prompt before any such tracking begins.

10. HOW LONG WE KEEP YOUR INFORMATION

We keep your personal information for as long as your account is active. The information the app holds — your profile, your enrolment in courses, your progress through them, and what you have posted in the community — is a record of your relationship with IBE rather than something that expires, so we do not delete it on a schedule. We keep it until you ask us to remove it, or until we no longer need it.

When you ask us to delete your account (see Section 11), we anonymise your information within 30 days:

  • Your profile and account records are anonymised — your name, email address and contact details are removed
  • Content you posted in the community remains visible, with your name removed, so that conversations other members rely on stay intact
  • Your push notification registration is removed
  • Copies may persist in encrypted backups for a limited period before being overwritten

We may keep information for longer where the law requires it, or where we need it to resolve a dispute or enforce our agreements.

You can delete individual posts you have made at any time, from the post's own menu.

Information held by the companies that help us. The service providers listed in Section 7 keep the information they hold for as long as our account with them is open. They do not delete it on a schedule of their own. When we anonymise your account we also remove your personal details from those systems where we are able to.

11. YOUR CHOICES AND RIGHTS

In the app.

  • Edit your profile at any time from your profile page
  • Delete your own posts from the post menu
  • Turn notifications on or off in Settings → Notifications
  • Request deletion of your account from Settings → Account. We confirm the request on screen, and our team actions it. Your information is anonymised within 30 days — see Section 10 for what that means for content you have posted.

By contacting us. Email support@invisiblebeadextensions.com to request access to the information we hold about you, ask us to correct it, ask us to delete it, request a copy in a portable format, or withdraw a consent you previously gave.

We will respond within the time required by applicable law. We may need to verify your identity first.

Rights in your state. If you live in California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Montana, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah or Virginia, your state's privacy law gives you specific rights. Exactly which ones depend on your state, but they generally include:

  • the right to know what personal information we hold about you and how we use it
  • the right to a copy of that information in a portable format
  • the right to have inaccurate information corrected
  • the right to have your information deleted
  • the right to withdraw consent you previously gave
  • the right to opt out of targeted advertising, of the sale of your personal information, and of profiling — we do not do any of these in the app, as explained in Section 9
  • in California, the right to limit the use and disclosure of sensitive personal information
  • the right not to be treated differently for exercising any of these rights

To exercise any of them, email support@invisiblebeadextensions.com.

Verifying it is you. Before we act on a request we need to confirm you are the person the information is about. We will usually do that using information we already hold; occasionally we may need to ask you for something more.

Someone acting for you. You can authorise another person to make a request on your behalf. We may refuse a request from an agent who cannot show they are properly authorised.

How long we take. We will respond within 45 days. If we need longer we will tell you why within that period, and take no more than a further 45 days.

If we say no. You can appeal. Email the same address with "Appeal" in the subject line, and we will review the decision and tell you the outcome.

12. COMMUNITY CONTENT AND MODERATION

The IBE community is for professional stylists. We do not tolerate objectionable content or abusive behaviour, as set out in our Terms of Service.

Reporting. Every post has a report option in its menu. Reports go to our team, and we act on them within 24 hours — removing content that breaches our terms and, where warranted, removing the person who posted it.

Blocking. You can block another member from their profile page. Once you do, you no longer see their posts or comments, and you can unblock them again from the same place.

Filtering. Posts and comments are checked automatically against a list of blocked terms before they are published. Content that matches may be refused — we tell you why, so you can edit it and post again — or allowed through and referred to our moderators. Our moderators also review the community themselves.

Removal. We may remove content that breaches our terms, and we may suspend or close accounts. Reported content and the account it came from may be retained for a period afterwards so we can handle repeat behaviour.

13. MINIMUM AGE

The app is intended for professional hair stylists and people training to become one. You must be at least 16 years old to create an account.

We do not knowingly collect personal information from anyone under that age. If you believe a child has provided us with personal information, contact us at support@invisiblebeadextensions.com and we will delete it.

14. PAYMENTS

Subscriptions and purchases are handled on our online store, outside the app, by Shopify and Recharge. Your card or bank details are entered there and processed by their payment providers.

We never receive or store your payment details in the app. The app only knows whether your membership is active and what it gives you access to.

The "preferred payment method" question on the stylist application asks which kind of payment you would like to use. It does not collect card or account numbers.

15. HOW WE PROTECT YOUR INFORMATION

We use industry-standard measures to protect your information, including encrypted connections for all data sent between the app and our servers. Your sign-in token is held in your device's secure storage, not in ordinary app storage.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.

16. CHANGES TO THIS POLICY

We will update this policy when the app changes what it collects or how it is used. When we make a material change, we will update the date above, revise our App Store privacy information to match, and — where the change requires it — ask for your consent before it takes effect.
